Setting up Sharepoint for Training Courses | Feb 23 | Tips
SharePoint is a popular tool for businesses to store, manage, and collaborate on files. While SharePoint has many benefits, it also has some disadvantages, one of which is controlling unregistered user access. Training material is a typical case in point.
So, if you're thinking about creating a repository for training material, maybe consider the following approach:
-
Create a new folder in your SharePoint site where you want to store the training materials.
-
In the folder settings, click on "Permissions for this folder" or "Shared With" to open the permissions panel.
-
Click "Share" and select the option to invite people.
-
Enter the email addresses of the people you want to share the folder with. You can also set the permission level for each person.
-
If the users are not registered to your SharePoint site, select the option to create a link that they can use to access the folder.
-
Choose the permission level for the link, which can be either view-only or edit.
-
Click "Send" to invite the users and provide them with the link to the folder.
-
Users can then access the training materials by clicking on the link, and they will be prompted to enter their email address to gain access.
Note that by providing external/random access, you may be exposing your training materials to security risks, so it's important to ensure that your SharePoint site is properly secured and that the permission levels are set appropriately for each user. You may want to consider using a separate folder with more restricted permissions for sensitive materials, or restricting external access to registered users only.
